Are you ready to take on an administrative role with a wide range of responsibilities, providing vital support to various teams?

My client is a UK-based Contract Research Organisation (CRO) specialising in scientific services for drug discovery and safety profiling. Due to continued growth, an exciting opportunity is now available for an Administrative Assistant to join their site in Cambridge.

Key Responsibilities:

  • General administrative tasks, including welcoming visitors, maintaining the Inventory registration system, and assisting with invoicing and purchase orders.
  • Reception desk management, including handling telephone calls, stationery, and office equipment orders.
  • Meeting room administration, booking rooms, and ensuring guest amenities are prepared.
  • Coordination of deliveries and collections with couriers and external suppliers.
  • Supporting senior management and BD staff with travel arrangements, meeting notes, and formal meeting minutes.
  • Assisting the HR manager with recruitment activities.
  • Supporting the BD and marketing team with conference organisation, logistics for events, press releases, and staff travel arrangements.
  • Adding projects and tracking staff working time using the client's Project Manager software.
  • Liaising with senior managers and the finance team to ensure timely filing of expense reports.
  • Providing support to GLP archival functions.
  • Organising company social events.

Essential Qualifications and Skills:

  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Reception desk management skills, including guest welcoming and courier coordination.
  • Purchase order management.
  • Meeting notes and minutes taking abilities.
  • Strong organisational and multitasking skills.
  • Excellent attention to detail, interpersonal, time management, and written/oral communication skills.
  • Effective communication with staff and clients at all levels.
