The successful candidate will lead the businesses document production team in a supervisory capacity as well as completing the duties of the document production role.

Description

Core duties are:

Team Lead/Project

  • Effectively managing the workflow of the Document Production Team and supporting the Secretarial Manager in supervising the Document Production Team;
  • Establishing and maintaining close communication with the Secretarial Manager, seeking guidance where required and providing regular updates;
  • Liaising with internal clients as necessary and promoting the document production service to all areas of the business;
  • Annual Terms of Business project involvement;
  • Template and style document management;
  • Collation and communication of team stats;
  • Provide expert assistance to the team; and
  • Actively identify opportunities to streamline current working procedures and participate in a continuous improvement framework for the department.

Document Production

  • Creating, formatting and updating a wide range of complex documents, reports, spreadsheets and presentations;
  • Transcribing audio files;
  • Converting documents into house-style using branded templates and styles;
  • Use track changes and other software (e.g. Litera Compare) in order to produce comparison documents as required;
  • Converting of PDF documents;
  • Troubleshooting problem documents; and
  • Proofreading and quality checking the above.

Profile

Skills/Qualifications

Previous Team Lead/Supervisor experience is essential;

Excellent keyboard, digital dictation and legal secretarial skills;

Excellent communication, organisational, team and interpersonal skills;

Attention to detail is a must, along with confidentiality;

Ability to work on own initiative and prioritise own workload;

Flexible and dependable;

Ability to work to tight deadlines and remain calm under pressure;

Ability to multi-task;

Advanced knowledge of Microsoft Office and other in-house software packages in use; and

Ability to build and maintain strong relationships in a confident & professional manner.
