Provide are hiring a Lead Scheduler on behalf of a medium-sized Digital Transformation Consultancy based in London to join their Project Management team. As the PMO Lead Scheduler, you will play a crucial role in ensuring effective project planning, scheduling, and coordination using MS Project. This position requires a deep understanding of project management principles, excellent communication skills, and the ability to collaborate with cross-functional teams.
Role responsibilities
- Ability to decompose scope into a work breakdown structure. Develops maintains, and updates project schedules using Microsoft Project, ensuring alignment with project goals, timelines, and resource availability.
- Work closely with project managers to understand project requirements, dependencies, and constraints building the project schedule using a consistent template to enable standardisation of schedules across a Programme/portfolio. As a component of this implements and enforces schedule management best practice.
- Maintain the schedule weekly whilst conducting schedule analysis to identify critical paths, bottlenecks, and areas for optimisation.
- Registers, tracks and reports on the integration of external dependencies within schedules be they project to project/programme or external eg third parties
- Provides data based automated weekly reporting across schedules to identify quality and performance issues using MSP macros for weekly data extracts eg Milestone performance, cross project/portfolio dependency performance.
- Coordinates with project and portfolio managers to ensure timely delivery and adherence to quality standards. Identifies potential risks to schedule delivery and drives resolution actions.
- Ensures resource allocation is optimized across all projects through resource planning in MSP, collaborating with resource managers if required.
- Supports the PM in impacting Change Requests, modelling scenarios, and working to mitigate delays
- Monitors resource utilization and proactively addresses any scheduling conflicts or resource constraints.
- Communicates across project teams, stakeholders, and leadership to ensure a clear understanding of project timelines and deliverables.
- Conducts training sessions and workshops to enhance the project team's proficiency in Microsoft Project.
- Identifies opportunities for process improvement in project scheduling and contributes to the enhancement of PMO methodologies.
Knowledge and Experience:
- Proven experience as a project scheduler with a focus on using MS Project and automation to aid reporting.
- Proven experience in leading schedule management development, integration and reporting in a large organization.
- Strong Excel experience - Past experience of Macros is essential.
- Knowledge of business change management principles.
- Familiarity with project management tools and methodologies. Strong understanding of Project/programme management principles, methodologies and best practices. Qualifications in Prince2, PMI, APM, or PMP are strongly considered.
- Experience in scheduling across a diverse portfolio of strategic projects.
- Understands the challenges and complexities of transformation projects involving integrated deliveries.
- Understands the application of scheduling to both waterfall and agile delivery
- Knowledge of IT Project/Programme Delivery and the application of Earned Value Analysis.
