Role Overview
We are looking for enthusiastic lettings administrators to join our exciting new programme, based in our lettings head office in Richmond you will have the opportunity to gain experience across a number of the central lettings functions.
As this role will involve rotations and you'll have the benefit of working with several departments which will give you the chance to get an unparalleled insight into our business and industry, with plenty of ongoing training and learning opportunities to keep you up to date on changing legislation and process. The rotations include, Tenancy Progression, Client Accounts, Property Management and Tenancy Renewals.
We are looking for enthusiastic individuals with an attention to detail who can work effectively on their own and within a team. We want those with a can-do approach and someone who isn't afraid to get involved in lots of different projects. Although initially a six month contract, this could be the start of your career at Savills.
Key Responsibilities
Our well thought-out processes are crucial to ensuring the very highest standards of customer service to both Landlords and Tenants. Please see below a brief overview of each rotation department and the respective roles and responsibilities.Tenancy Progression - Are responsible for producing tenancy agreements and documentation in order for a client to move into a property on time. • Producing accurate tenancy documentation to deadlines, such tenancy agreements, invoices and deposit information form.• Processing reference applications for tenants and ensuring ID checks are in place• Checking that tenancy agreements have been signed, references completed & full funds cleared.• Contacting tenants and landlords with their completed tenancy paperwork• Liaising with clients and Savills offices, discussing bespoke clauses, reference updates and works needed. • Prioritising work in order to meet start dates of tenancies.Renewals - This role focuses primarily on renewing and renegotiating existing tenancies to retain our existing clients and add value to our landlord portfolio. • Working closely with your landlords and tenants understanding their needs• Negotiating tenancy renewals in advance to achieve the best tenancy terms for our clients• Producing accurate renewal documentation, including specially negotiated clauses,• Ensuring renewal paperwork is completed in good time by all partiesProperty Management - The purpose of a Property Manager is the day to day management of the property during the Tenancy, including day to day maintenance, ensuring safety requirements are met and managing the return of deposits. • Help the Department Managers with all administrative aspects involved in the running of the Department• Paying supplier invoices and service charges• Utility management• Liaising with utility companies and contractors• Sending inventory check in and out reports to tenants and landlords• Opening and distributing post between the teams• Cross check necessary department, ensuring accurate documents are saved to our internal system• Carry out other administrative duties within the lettings functions at One Church Road• Comply with Savills compliance procedures and manage department mailboxClient Accounts - As a client accounts administrator you are responsible for ensuring our landlords are paid on time as well as processing the return of deposits to tenants vacating a property.• Answering and solve queries from landlords, tenants, the other head office departments and our branches• Processing terminations• Processing payments of deposit returns to outgoing tenants, as well as ensuring all accounts are accurate for new tenants on the system• Managing daily payments to contractors and landlords including rent and credits• Importing new deals and ensuring correct fees are collected from landlords• Raising rent demands and allocating tenant receipts
Key Skills
You will receive comprehensive training on your role, but ideally we are looking for someone with:
- Excellent IT skills, including Excel, Power Point, Word, etc
- Have an ability to multi-task
- Excellent written and communication skills
- Ability to work effectively in a fast paced environment individually and as part of a team
- Strong organisational skills
