The Role:

We are looking for an Office & Facilities Assistant to join our friendly, professional, and dynamic team. A key of the Office & Facilities Assistant role will be to undertake Receptionist duties as part of a welcoming team to ensure all staff and visitors are greeted and dealt with in a warm and efficient manner. The Office & Facilities Assistant role is for an eager and adaptable person who will be an essential linchpin between Reception, the Office & Facilities team, and providing an efficient service to SRK s Business Units. Applicants should thrive on being the first point of contact and undertaking a variety of administration duties. The role constantly deals with reactive enquiries; therefore, no two days are ever the same.

Key Responsibilities & Duties:

Receptionist (Office) Duties will include but not be limited to:

- Presence in the reception area of our office, answering and dealing with incoming telephone and email enquiries

- As an Office & Facilities Assistant, you will act as the first point of contact for clients, employees, suppliers, and other visitors and be responsible for creating a warm and welcoming atmosphere for all staff and visitors

- Ensuring all visitors sign in and out at reception and producing name badges where required

- Responsible for both incoming post distribution and outgoing post including franking and liaising with couriers, arranging UK and occasionally complex international shipments

- The Office & Facilities Assistant will deal with the booking of meeting rooms and car parking facilities for internal and external visitors, including any catering service requirements

- Configuring meeting rooms, which will entail moving furniture such as tables, chairs and partitions as and when required

- Support colleagues with Audio visual or video conference enquiries, reporting equipment failures to IT Support or providing guidance for use where asked

- Keeping the reception area tidy and general housekeeping

- Ensure the breakout area, kitchens and stationery points are sufficiently stocked at all times

- Ordering consumables and replenishing stocks as and when necessary, keeping all areas tidy

- Daily replenishment of kitchens, emptying the dishwasher and opening up the ground floor

- Providing ad hoc support to SRK s Business Units without losing sight of reception duties

Facilities Duties will include but not be limited to:

- Maintaining security passes / fobs for access control and intruder alarm systems

- Assist the Office & Facilities Manager with overseeing any alterations, redecoration, building, and maintenance works and specialised repair work

- Assist the Office & Facilities Manager in obtaining quotations for projects

- The Office & Facilities Assistant will help with the moving and organisation of office equipment, stationery and meeting room furniture as and when required

- Assisting with workstation set up, liaising with the appropriate Business Unit Leader (BUL) Team Leader (TL), and communicating with the IT Support Team

- Proactively ensuring good housekeeping and hazard free through the office

- Identify any Health & Safety issues/ hazards, as well as any general maintenance or cleaning issues and report promptly to Office & Facilities Manager or Building Manager where applicable

Essential Requirements:

- Previous experience of working within a professional services or similar environment and within a similar role

- Good attention to detail and exceptional time management

- Proficient in Microsoft Office applications (Microsoft Word, Excel, Outlook, Teams)

- Effective communication, interpersonal, organisation and time management skills with the ability to work independently with a fluctuating workload

- Competent in implementing priorities and managing multiple tasks to a high standard without direct supervision

- Ability to maintain absolute data confidentiality

- Smart and professional demeanour

- Be able to build relationships and feel like a key member of our team
