Position Role Purpose
We are looking for an established and experienced Operations Director to lead and manage all central agency operations as we experience rapid growth. The right candidate will have agency experience, and is able to coordinate operations and project management across The Wild, having oversight of all client projects, new business proposals and internal initiatives to ensure that time and resources is managed efficiently and effectively.
The role will sit as part of the Senior Management team of The Wild. Reporting to the Exec Director of Growth.
KEY RESPONSIBILITIES :

• A great people person who can build constructive relationships with the team, and get stuff done with a friendly-but-firm approach
• Demonstrated experience managing budgets and resources
• Demonstrate understanding of core financial constructs including revenue, profitability, pricing structures (hourly vs. retainer accounts), budgeting and forecasting
• Knowledge of and experience implementing project management principles
• Set up and management of internal project management tools/platforms
• Effectively prioritise and work on multiple projects at one time
• Exceptional collaboration and communication skills, with the ability to work effectively with a diverse range of stakeholders across teams and functions
• Strong analytical, organizational, time management and problem-solving skills
• A proactive problem-solver, with an unflappable, positive attitude
• Innovation-oriented, with the ability to think outside-the-box for solutions, but at the same time possessing a pragmatic and realistic approach
• Demonstrate an understanding of the basic principles in digital development across multiple platforms, including but not limited to YouTube, Facebook, Instagram, Snap, TikTok

KEY RESPONSIBILITIES :
- Own and lead all agency management systems - inclusive of scoping, time tracking reconciliation, and capacity planning.
- Own agency CRM - day to day management and future development.
- Own and steward the proposal approval process with various cross-functional internal stakeholders (Sales, strategy, creative and production)
- Analyse existing client partnerships in a data-driven way to help garner insights to enable leadership to make strategic decisions for future deal negotiations
- Manage and develop cross-functional processes that address inefficiency
- Own logistics, coordination of the contract generation and feedback processes
- Ensure alignment between internal stakeholder groups
- Provide operational expertise to all teams in market, constantly looking for ways to improve and optimise agency processes
- Partner with SLT to recommend ways to optimise and streamline our internal processes, ranging from tool investment to optimisations of existing infrastructures
- Assist client service teams with the deal reconciliation process
- Develop and implement overarching project plans/schedules across The Wild, maintaining a bird's eye view of work happening across the team
- With that overarching view, ensure available resources are used efficiently and effectively, clash-managing across projects to overcome potential bottlenecks
- Run weekly project management meetings with the Account Management team to ensure effective coordination of resources and early flagging of issues
- Develop accurate and comprehensive project scopes of work and budgets using our pricing framework
- Facilitate requirements for end to end delivery, working with the Account Managers to keep projects on time and budget
- Ensure project management best practices are being upheld across the team, especially by the Account Managers tasked with the day-to-day delivery of individual projects. For example, managing shifting timings, flagging scope creep and adhering to financial processes
- Build a relationship with other key teams within Jungle Creations to ensure smooth coordination
- Ensure time, expenses and POs are recorded, submitted and approved to the right project codes on a timely basis
- Evaluate all projects upon completion alongside the Account Management team, ensuring a drive for continuous improvement
- Act as an escalation point, along with the Business Director, for any project-level issues, working with the Account Managers to find solutions
