Purpose of the Role

Manage and monitor the retail delivery process for and on behalf of the landlord and manage all service charge projects that form part of the Planned Maintenance Programme.

Key Responsibilities

  • Liaison with Tenants and Teams on initial Design meetings, site surveys, arrangements for access.
  • RD1. Design Review, design concept approval, comments, review in accordance with the design guide.
  • RD2, Technical Design review, to include external sign-off from external consultants, liaising with Tenants consultants and Landlords Consultants for M&E, Structural, Insurers, Fire Safety. This information is then issued to Asset / Solicitors for legals.
  • RD3, Pre-start held with Tenants Contractors to discuss through the H&S requirements for works and Centre rules. Savills Tech Manager / H&S in attendance. Permits to work provided via Savills C-Tracker systems, site-set up agreed.
  • RD4, liaise with and monitor the contract teams throughout, with regular site inspections. Commissioning certificates to be provided for all installations and interfaces into Landlords systems. On final inspection Consent to Trade is granted.
  • RD5, is ensuring that all As-Built information has been provided and that any snagging identified has been rectified. Once complete RD5 is issued.
  • All of the above is carried out for new tenants, refurbishments, temporary tenants, re-brand, existing tenants, commercial Kiosks, external commercial units
  • All landlord and service charge works to be tendered providing a minimum of 3 quotes.

Project Management, as Client Lead / Sponsor on all Capex Projects. Acting under the instructions of Indorama to carry out the following but not limited to:

  • Ensuring that the correct processes and procedures are carried out, throughout the project from the issue of tender Documents through to working on site.
  • Ensuring that the correct level of Insurance is provided by all contractors.
  • To regularly communicate with the wider Stakeholder teams on all aspects of the project to keep them informed.
  • Ensure all information is provided on behalf of the Client to allow the external PM and Consultant teams to carry out the job effectively
  • To liaise with tenants/ tenants agents/ Head offices, to get consents, to arrange access, and to keep them informed of works and progress.
  • Sign-off of the agreed project expenditure, including management of CapEx Purchase Orders, invoice approvals and on-going tracking of the costs of the project.
  • Ensure that Permits to works are granted via C-Tracker for all Project associated works. F10's, Construction Phase Plans, H&S plan are provided.
  • Continual monitoring of the Health and Safety on site
  • Attend regular design meetings
  • To work with the Sovereign Centros and incoming tenant teams to agree unit handover specifications and any associated remedial works; including services, sprinklers, fire alarm systems etc.
  • Manage the dilapidations schedule to ensure that the tracker is kept up to date and any funds are collected in a timely manner
  • Provide input and strategy around works required to improve EPC rating and to minimise MEES risk
  • Provide occasional assistance to the centre management team in respect of some service charge works for which your specific input would assist
  • Manage the internal Project tracker to ensure that it is kept up to date

  • An eye for detail
  • Able to persuade and maintain excellent relations with the client
  • Flexible and articulate
  • Technical / Shopfit Management experience

Working Hours - 37.5 hours
